SoWhite is a Ukrainian brand of everyday oral-care products: toothbrushes, irrigators, flossers, tongue scrapers. The brand's philosophy is simple: a good smile rests not on one "heroic" whitening once a year, but on small, regular actions. It turned out the same principle works inside the company — and that is exactly where automation started. Here is the case study.
The problem: finances living in chaos
A brand that sells everyday-care products loves detail and predictability. But behind any store's neat storefront lies ordinary routine: supplier payments, ads, logistics, returns, small expenses. While the business is small, this is tracked on the fly — in a notebook, phone notes, or a spreadsheet that people always forget to update. And at month's end it becomes a quest: "remember where all this money went."
The SoWhite team didn't want finances living in that chaos, so they began with a simple, practical step.
The solution: an accounting bot right in Telegram
Instead of spreadsheets you have to sit down with separately, we moved tracking to where the team already spends half its day — Telegram. The bot logs company expenses and income straight from a message and requires no "correct format." It understands three input methods:
- Voice — dictate an expense while driving or packing orders.
- Text — a short message like "payment for pastes, 4200."
- Screenshot or photo — send a receipt or a bank-payment screenshot, and the data lands in the ledger by itself.
No need to postpone and sit down with a spreadsheet in the evening. An expense occurs — within ten seconds it's logged, wherever you write from.
The result: calm instead of scrambles
The effect is felt not in one loud number, but in daily calm:
- Nothing gets lost — every receipt is in the system at once, not in a pile of papers.
- The money picture is current every day, not "we'll reconcile it sometime."
- Less manual routine — no transferring receipts into a spreadsheet by hand.
- At month's end there's no reconstructing expenses from memory.
The bot removed exactly the boring part that kept accounting perpetually postponed. More on the approach itself in our piece on expense tracking via an AI Telegram bot.
What's next: faster answers for customers
The next step concerns the brand's customers. Work is now underway on an AI assistant for the support chat. The idea is simple: a buyer gets an instant answer to routine questions about care, choosing nozzles, orders, and delivery, instead of waiting for a manager. This matters most in the evening and on weekends, when it's convenient to write but no live operator is around. Complex, individual questions, of course, stay with a human — the assistant only removes the flood of identical queries.
Bottom line
Proper automation frees time not for the sake of technology, but so more attention goes to what truly matters — quality products and customer care. SoWhite started with accounting, and it already delivered a tangible result.
